Summary ∞
With this privacy policy (the “Policy”), we at Presentation Cartography want to explain to you the user how we will take care of any personal information we collect from you in the course of delivering Visual Cortex and carrying out any associated support activities. This Policy explains what data we collect, and how we use and store that data, as well as how you can contact us about that data to invoke your rights with respect to it.
It is important to note that this Policy only applies with respect to Presentation Cartography and if the software is being onward supplied by an agency partner they may have a separate policy, and the organisation you work for may have a separate policy as well. Please consult those policies separately as needed.
We only collect use and store your personal information in accordance with applicable data protection legislation, including but not limited to the EU General Data Protection Regulation (2016/679) (“GDPR”) and applicable national legislation (hereafter “applicable law”).
At present the only information we will collect from users is collected in the process of gathering suggested software enhancements and user survey results. The only personally identifying information we will collect is your name, email address, and potentially a description of your role within your organisation of employment. In addition there will be the content of the enhancement suggestions and responses to the user survey questions. This information will only be used by Presentation Cartography for the purposes of improving the product and will only be shared with applicable agency partner and customer organisations with the purpose of helping to improve the product or to assist with relationship management within the context of those relationships. We will NOT share your information onward to any other third party without requesting specific permission to do so.

Who we are ∞
Presentation Cartography is a limited liability company based in Wellington, New Zealand. We develop Visual Cortex, our soft-ware suite for weather, climatology and general data visualisation.
We are the controller of the personal information collected, although in some circumstances other organisations (an agency partner or your employer) may also receive copies of the information from our software. What we promise ∞
We promise to keep your data safe and not to sell it to third parties. We promise to give you the right to access and delete your data, and to manage and review your data held with us.
What is personal information? ∞
Personal information can be any information relating to an identified or identifiable natural person. In other words it can be any information that could allow us to identify you both directly and indirectly such as your name, place of employment, IP address, or job title. In this policy we will use the word “data” to refer to personal information.
Reasons for processing of your data ∞
We will only use and process data about you if we have one of the following reasons to do so:
- To fulfil a contract we have with you or with your employer for the delivery of support or services around Visual Cortex and its usage.
- When you consent to it, for example by sending a suggestion for enhancing the software or filling in a user survey.

When we have a legitimate interest in processing survey results to generate anonymised statistics about the usage of our software and to provide qualitative and quantitative analysis of that usage.
When do we collect your data? ∞
We only collect user data in the following situations:
- When you use the Suggest Software Enhancement dialog to make suggestions about improving Visual Cortex.
- When you fill in the User Survey in the Survey dialog.

When you contact us or our support services is emails.
What data do we collect? ∞
We use data that you have explicitly provided to us in the situations given above. This will almost certainly include:
- Your name.
- Your email address.

Your job title.
In addition we will also incidentally capture any information you volunteer in the process of undertaking the activities listed above. This may include some of the following:
- A physical address.
- Your gender.
- Telephone number(s).
- Name and contact information for your place of work.
- Any additional information not defined above.
There may also be information provided to us by third parties such as the agency partner, your co-workers, or your employer.
How do we use your data? ∞
We use the information we collect from you and from your use of our software to provide, maintain, and improve the software and assist in developing new software. We will not use your data for any purpose other than for which it was originally collected without your permission.
Who do we share your information with? ∞
In order to fully execute the contracts we have for provision of Visual Cortex and the services around it we may need to share your information with our agency partners and your employer with the purpose of discussing Visual Cortex and it’s improvement and delivery, and delivery of services associated with it.
We will only share that information with agency partners and your employer if they can ensure they comply with applicable laws and privacy regulations.
Security measures to protect your data ∞
Your data will only be stored and used by Presentation Cartography in email accounts and on computer systems which are adequately secured. We only use services that offer encrypted transmission of data, and our email service requires two factor identification to log in.
How long will we keep your data ∞
We will keep your data for as long as the organisation you work for is a customer of Presentation Cartography. We may keep your data for longer for in the form of emails in our email history, or for internal research or statistical purposes. If we do keep your information for longer we will ensure it is anonymised and non-traceable to you as a person wherever possible.
We will also delete your data on request.
Right to object to the processing of your data ∞
You are entitled to object to the processing of your data on grounds related to your particular situation. Please note however that we must still process some information from you to provide the software and services your employer is paying for. This means you cannot object to all use of your personal information without potentially placing your employer in breach of contract and preventing us from providing services you rely on to perform your job.
Wherever practicable however we will not use any of your data that you consider objectionable.
Right to erasure ∞
You are entitled to request that we erase all data related to you. We will erase your data on request provided that it is no longer required for the servicing of contracts. We may also refuse to erase personal information where we have a legal obligation to keep it in order to comply with legislation or contractual terms.
Right to restriction ∞
You are entitled to require us to restrict our processing of your personal information if you contest the accuracy of the data, of if you believe the processing of the data is unlawful but you do not want us to delete the data or we are unable to delete the data.
How to get a copy of your data ∞
If you want a copy of data Presentation Cartography holds about you please email us at support@presentationcartography.com and we will endeavour to get you a copy of the data in a timely fashion.
How to enforce your rights ∞
You can contact our support department at support@presentationcartography.com at any time to get a list of the data we have collected from you, or request that such data is deleted or it’s usage restricted as explained above.
We will do our best to respond within a few days but please understand that it may take several days. Thank you for your patience and understanding.
Changes in the privacy policy ∞
This policy may change from time to time. Any changes in this policy will be shown to you in the relevant updated version of Visual Cortex. The current and active version of the policy may be requested at any time by emailing support@presentationcartography.com. If you are asked to accept changes to the policy and refuse to do so you may find aspects of the functioning of Visual Cortex become restricted.
